1. What happens to my data after the screening has been completed?

The result of the screening is in the form of a digital report accessible online by both principal and candidate. In the interest of the principal, CV-OK will keep the data of the candidate in their database for a period of maximum 6 months. After 6 months the data will be made anonymous; i.e. untraceable to the specific candidate. CV-OK uses a period of 6 months because that period will allow our client to process the data. Legally, CV-OK is allowed to prolong this period.

2. Do I still have to bring my diplomas?

No, CV-OK can verify educations and diploma’s via her relation with DUO – IB Groep and other relevant institutions. CV-OK has access to multiple databases via her partners and has automated the process so that no physical documents have to be presented.

3. Which documents are required for the screening and why?

CV-OK requires the following documents to perform a screening: Curriculum Vitae (CV), a Statement of Consent signed by the candidate, copy of proof of Identity (passport or drivers license). These documents will be uploaded by the principal into the system of CV-OK. As soon as the client submits the screening the automated process starts.

5. Why do I need to sign a Statement of Consent?

According to the privacy law (‘Wet Bescherming Persoonsgegevens’ (Wbp)) CV-OK needs to have the unambiguous consent of the candidate to be able to verify the information. A signed Statement of Consent in combination with a copy of the proof of identity complies with the privacy law. In addition, the Statement of Consent provides valuable information for the candidate because it states clearly how CV-OK will manage the process and the information of the candidate. CV-OK complies with all requirements regarding the privacy law (‘Wbp’).

6. Can I take the report to a future application procedure?

The digital report we provide is a snapshot. The principal is the owner of the report and may determine what will be done with it. The candidate will receive a copy which will include the logo of the client and a timestamp (moment of screening). Within maximum 6 months CV-OK will make the candidate’s data anonymous within its own database.

7. What if information is incorrect?

If information turns out to be incorrect, the report will show this. The report can be viewed by both the client and candidate. CV-OK restricts itself to the verification of hard data and will not pass judgment on the candidate regarding a specific position or competence. This responsibility lies with the client and/ or recruiter.

8. How long will the report be valid?

It is a snapshot. The client is the owner of the report and determines herself how they use it. The candidate will receive a copy of the report. CV-OK will destroy certain data within 6 months after completion.

9. Who will have “my” report?  

The process is fully transparant for all parties involved. In short, the client and the candidate will have access to all data and reports. CV-OK will anonymize the data in the report 6 months after completion.

10. Will my current employer be contacted?

When CV-OK is requested to verify working experience we will only contact referees provided by the candidate. The current employer therefore will only be contacted if the candidate gives his or her consent.

11. How is the relationship with ‘DUO – IB Groep’ (former informatie beheer groep (IBG))?

CV-OK has a strategic partnership with ‘DUO – IB Groep’ (voormalig Informatie Beheer Groep). ‘Duo’ holds all relevant information on diplomas, degrees and educational institutions in a central database. CV-OK has access to this database via this strategic partnership.
